AI in hiring policy.
Last updated October 15, 2026
M7 Fractional is a small firm. When we hire, JT Metcalf (SHRM-CP, Founder & President) reads every application and makes every hiring decision. AI helps with the paperwork around hiring. It does not decide who moves forward.
M7 uses commercially available AI models from a U.S. provider, and Microsoft 365 for email, calendar and files.
Where AI may help
- Drafting and editing job posts.
- Organizing applications: filing them, adding contact details to our tracker, and keeping notes in one place.
- Scheduling and routine messages, such as confirming an interview time. JT reviews every message before it goes out.
- Cleaning up and summarizing JT's notes so he can review them.
What AI never does here
- Reject anyone. No application is turned down by software. JT reads every one.
- Score, rank, rate or recommend candidates. AI summarizes and organizes. Any rating or recommendation is JT's own.
- Use or guess at protected characteristics, such as race, age, sex, disability, religion or national origin.
- Judge anyone by face, voice, tone or expression. We do not use any tool that evaluates candidates from video or audio.
- Make or deliver a hiring decision on its own.
Recorded interviews
To keep accurate notes, an interview may be recorded and transcribed by an AI note-taking service. When it is, a notice appears in the meeting chat. You can ask for recording to be turned off at any time, and asking will not count against you. A transcript is used for notes only.
Your choices
- Human-only review. Ask, and no AI tool will be used on your application or your interview notes. JT will handle them by hand.
- Accommodations. If you need an accommodation at any point in the process, tell us. You do not need special words, and asking will not count against you.
- Questions. Ask anything about how we handle your application. We would rather you ask.
For any of these, contact JT at [email protected] or (970) 388-0275.
How we handle applicant information
- What we collect: what you send us (your name, email, resume and answers), JT's notes from conversations with you, and an interview recording and transcript if one is made. If you use our website form, it also stores a coded (hashed) version of your internet address, which we use to limit spam.
- Where it is kept: M7's email and file accounts, business systems and their secure backups, the AI note-taking service if an interview is recorded, and, for talent pool sign-ups, our website's form database.
- Who sees it: JT. When AI helps organize or summarize, the information is processed by our AI provider under settings that keep it from being used to train AI models.
- What we never do: sell applicant information or share it with other companies, other than the service providers that store or process it for us.
- How long we keep it: five years.
- Removal: ask, and we will delete your information where the law allows.
The laws we follow
We follow federal and Colorado employment law whether or not M7's size makes each one apply, including:
- Title VII of the Civil Rights Act, the Americans with Disabilities Act (ADA), the Age Discrimination in Employment Act and the Genetic Information Nondiscrimination Act, which the U.S. Equal Employment Opportunity Commission (EEOC) enforces. Using software does not change what these laws require of us.
- The Colorado Anti-Discrimination Act, which protects job applicants as well as employees.
- Colorado's law on automated decision-making technology in hiring and other major decisions (Senate Bill 24-205, repealed and reenacted by Senate Bill 26-189). It applies to decisions made on or after January 1, 2027. Our practice keeps AI to organizing, summarizing and presenting information for JT's review. If that ever changes, we will update this policy and give the notice the law requires before the change.
Questions or pushback on this policy are welcome. Contact JT directly.
